The paperwork and manual data entry currently required for recruiting new staff will be drastically reduced when new web-based recruitment system, , goes live later this month.
լе recruits approximately 1800 full-time and part-time staff each year and each new job advertisement can attract up to 150 applications.
լе Associate Director HR Systems and Business Analysis, Tim Gall, says the current լе recruitment process is resource intensive with staff required to manually handle and print individual job applications and enter data on applicants multiple times during the recruitment process.
“When լе Jobs goes live on 23 March it will streamline and remove current duplication in the recruitment process, thus improving the applicant’s experience,” Mr Gall said.
“The new system is designed to be intuitive and user-friendly for both people recruiting staff and for job applicants. It will provide savings in both administrative time and improvements in sustainability by reducing paper work.
“For example, electronic workflows will provide automated responses to applicants and remove the need to input data multiple times.
“Job applications are currently printed several times, for short-listing, interviews and again to store on the recruitment file. լе Jobs will now store all documents online and create a single indexed pdf containing all applications for a position.”
Some of the key benefits that լе Jobs will offer include:
• Automated and personalised email communication with applicants, such as acknowledgements and advising if unsuccessful.
• All documents, including applications, stored in one place and electronic.
• Environmentally friendly – reduced paper wastage.
• Consolidated list of applicants to use for short listing.
• Bulk posting of job adverts at one time.
• Ability for candidates to track their application status.
• Reduced data entry duplication.
լе Jobs complements the լе People Strategy and addresses initiatives identified as part of the Administrative Improvement Program. It also integrates with լе’s sustainability goals to reduce environmental impact by providing online documentation and complies with լе’s Assurance and Risk Management charter to meet legislative requirements.
լе Jobs Training
Staff training for լе Jobs started last week and most places are filled for March. However, լе Jobs is designed to be intuitive and user-friendly, so staff will still be able use the system even if they have not completed the training. Staff are still encouraged to register for either the or courses, which will be held each month until October.
The topics covered include raising a job card, advertising, short-listing candidates, coordinating interviews, reference checks, how to make a formal offer and track the recruitment activity.
